Welcome to Everest Summit Treks and Expedition! We are excited to take you on an unforgettable journey through Nepal’s stunning landscapes. Before you book your trip with us, please take a moment to read our terms and conditions. These guidelines help ensure a smooth and enjoyable experience for everyone.
Booking and Payment:
To secure your spot, we require a 30% non-refundable deposit when booking your trip. The remaining balance must be settled before departure. Payments can be made via bank transfer, credit card, or other approved methods. If full payment isn’t received on time, your booking may be canceled without a refund.
Cancellation and Refund Policy
- Cancel 60 days before departure? You’ll get a 70% refund (excluding the deposit).
- Cancel 30–59 days before departure? A 50% refund applies.
- Cancel within 30 days? Unfortunately, no refund will be given.
- If we have to cancel the trip due to circumstances beyond our control (bad weather, political instability, low bookings), we’ll offer a full refund or an alternative trip.
Travel Insurance:
All travelers must have travel insurance covering medical emergencies, trip cancellations, emergency evacuations, accidents, and lost belongings. If you’re trekking at high altitudes, ensure your policy includes coverage for that. Without proof of insurance, we cannot allow participation in our trips.
Health and Fitness Requirements:
Trekking in Nepal requires a certain level of physical fitness. Make sure you are in good health before embarking on the journey. For high-altitude treks, a medical certificate may be required. We are not responsible for any health-related issues that may arise during the trip.
Understanding the Risks:
Trekking and mountaineering come with inherent risks, such as altitude sickness, unpredictable weather, landslides, and avalanches. By booking with us, you accept these risks and agree that Everest Summit Treks and Expedition is not liable for injuries, losses, or damages during your trip. Our guides will provide safety instructions, and it’s crucial to follow them.
Itinerary Changes and Delays:
Mother Nature can be unpredictable! Weather conditions, health emergencies, flight delays, or other unexpected events may require changes to the itinerary. If there are additional costs due to these changes (extra lodging, transport, meals), they will be at the participant’s expense.
Accommodation and Meals:
We provide accommodations in lodges, tea houses, or tents, depending on your trip. While we strive to ensure comfort, facilities in remote areas may be basic. Meals are included as per your package, and we do our best to accommodate dietary restrictions if informed in advance.
Equipment and Personal Gear:
You are responsible for bringing essential trekking gear. If needed, we can assist in arranging rental equipment. Any lost or damaged rental gear must be compensated by the participant.
Guide and Staff Authority
For your safety, our guides and trek leaders have the final say in all matters related to the trip. If they determine that a situation is unsafe or if a participant is unfit to continue, their decision must be respected.
Permits and Local Regulations:
We will arrange all necessary permits for trekking and climbing. Participants must respect local laws, customs, and environmental guidelines. Any unlawful behavior or disregard for local customs may result in immediate trip termination without a refund.
Complaints and Dispute Resolution:
If you have any concerns during your trip, please report them to your trek leader or a company representative as soon as possible. We will do our best to resolve issues promptly. Any disputes will be handled under Nepalese law.
Privacy Policy:
We value your privacy and will not share your details with third parties unless required by law. Your information is used only for trip arrangements.
Unexpected Situations (Force Majeure):
We are not responsible for trip interruptions due to unforeseen events like natural disasters, pandemics, political unrest, or any other uncontrollable circumstances.

Emergency Evacuations and Rescues:
In case of emergencies, we will arrange evacuations, including helicopter rescues if necessary. The cost of evacuations must be covered by the participant or their insurance provider.
Altitude Sickness and Medical Support:
High-altitude trekking can lead to altitude sickness. Our guides are trained to identify symptoms and provide necessary assistance. If symptoms worsen, descent or evacuation may be required for safety. w. Any legal disputes will be settled in Nepal.
Environmental Responsibility:
We are committed to eco-friendly tourism. Please help us by reducing plastic waste, respecting wildlife, and following Leave No Trace principles.
Code of Conduct:
We expect all participants to behave respectfully towards fellow travelers, guides, and local communities. Any inappropriate behavior may result in trip termination without a refund.
Visa and Entry Requirements:
It’s your responsibility to obtain the necessary visas and travel documents. We can guide you through the process but are not responsible for visa issues.
